How to configure your Outlook client for use with the IMAP service.

About This Document:
This document provides instructions on how to configure Microsoft Outlook 2003 for use with Rensselaer’s IMAP Service.

Important: For virus and security reasons, it is recommended that all users keep Outlook up to date by installing the latest updates using Microsoft's Office Update service and Windows up to date by installing the latest updates from the Windows Update service.


To configure Microsoft Outlook for use with IMAP, do the following.

  1. Open Microsoft Outlook and go to Tools>Email Accounts...
    Result:
    Beginning with the Email Accounts dialog, you are presented with a series of dialogs to configure the Microsoft Outlook mail application.

    Note: If Outlook runs a wizard on opening, select Cancel to get out of the wizard and then proceed with Step 1.

  2. Select Add a new email account and click Next.
    Result: The Email Accounts "Server Type" dialog appears.

  3. Choose IMAP as the server type and click Next.

    Result: The Email Accounts "Email Accounts" dialog appears.

    Note: For security reasons, it is suggested that you do not enter your password at this time. Once you are finished with the this procedure, Outlook will prompt you to enter your password prior to sending/receiving email.

  4. As seen above, enter:
    1. Your Name: First & Last Name
    2. Email Address: <rcsid>@rpi.edu
    3. Incoming mail server (IMAP) – mail.rpi.edu
    4. Outgoing mail server (SMTP) – mail.rpi.edu
    5. User Name: <rcsid>
  5. From the Email Accounts dialog (above), click More Settings.
    Result: The Email Accounts "Internet Email Settings" dialog appears.

  6. From the Internet E-mail Settings window click on the Advanced tab.
  7. On the Advanced tab, under Server Port Numbers for the Incoming server (IMAP): select This server requires an encrypted connection (SSL)
    Result: Your Outlook client is now set to interact with the IMAP server over a secure SSL connection.

  8. From the Internet Email Settings window, click OK.
  9. From the Email Accounts window, click Next then Finish.
    Result: Outlook will present a Log in window.

  10. Enter your password and press OK to send/receive mail from your account on the RPI mail server. Now that you've set up your IMAP, your mailboxes will look something like this:

    Note that your IMAP inbox is listed near the bottom below the name of your mail server, in this example mail.rpi.edu.
  11. To verify that you are subscribed to all available folders on your IMAP account, right-click your IMAP Inbox and select IMAP Folders.
    Result: The IMAP Folders window will appear.

  12. Select Query and select a folder to add to your Outlook view then click Subscribe. Continue this process for all folders you wish to subscribe to.

  13. Click OK when you complete your subscribe process.
    Result: Your Outlook client is now configured to connect to the IMAP server.
